2025 OpenText VIM and Capture Deep Dive

In June 2025, the two-day "OpenText VIM and Capture Deep dive" event took place at the OpenText office in Grasbrunn. Once again this year, Avelon, as a market leader in the field of VIM and long-time partner of OpenText, was invited.
As every year, topics shared included the Vendor Invoice Management (VIM) Roadmap including some sneak previews of new developments. The full range of components of VIM were covered, the Invoicing solution, Beyond Invoice and Capture.
In this blog, we discuss the main highlights of the event.
Artificial Intelligence (AI) and VIM
The first topic was Artificial Intelligence. OpenText has developed their own AI agent, "Aviator." This already works with OpenText's content management solutions such as Extended ECM (Enterprise Content Management) and Core Content. Hereby Aviator acts as the spider in the web that connects systems and supports users, for example, in finding the right content.
OpenText's plans for AI and VIM are highlighted in the following overview, which shows the current use of AI through to its future vision.
For OCR (Optical Character Recognition), AI and Machine Learning are used to correctly recognize the various field types, such as dates, numbers (e.g. decimal point), amounts and currencies, and to interpret them correctly, also based on data in SAP.
Some concrete AI applications currently under development:
Material recognition based on incoming orders and master data.
Intelligent linking of invoice lines to purchase order lines.
Determination of appropriate payment terms based on incoming invoices.
AI-based Business Rules, for example, for detection of changed bank details.
New VIM release strategy
OpenText is bringing its release strategy for VIM more in line with S/4 Hana versions:
A new major release every two years, in line with the new S/4 Hana versions.
A new SPS (Support Package Stack) is published every six months with new developments and corrections.
With the release of a new version, older versions are reduced to one SPS per year. Herein, the emphasis is on corrections and legal changes.
After a certain time, no more SPS are issued, and only corrections are made.
Support for a VIM version expires after seven years, in line with that for the equivalent S/4 Hana version.

Developments in the Invoice Solution.
The following overviews show where OpenText is focusing in the short and long term.
For 2025, the focus is on:
Improve invoice processing by supporting additional processes.
Improve the user interface.
Leveraging AI to transition from automation to autonomous invoice processing.
New releases in Q4 2025:
SPS9 for versions 7.6 and 20.4 with bug fixes and legal changes.
SPS4 for version 23.4 and introduction of 25.4.
Major innovation:
The "Fiori only" strategy: New Fiori cards available for the Accounts Payable Cockpit that allow users to handle open invoices directly.
Development of the new "One-Invoice Power App."
VIM Foundation and VIM Beyond Invoice.
The following overviews show what is planned in version 25.4 for Foundation and Beyond Invoice.
Foundation Roadmap:
Integration of AI tools, starting with OpenText's Aviator, followed by SAP's Joule.
Further deployment of AI and Machine Learning for process automation.
Beyond Invoice Roadmap:
Focus on further automation and analytical reporting.
Increased ease of use, including new search functions within the Sales Order Workplace.
Capture
OpenText offers two OCR solutions:
OpenText Core Capture: the cloud service.
OpenText Capture (formerly Intelligent Capture for SAP): the local installation.
Both solutions offer the same functionality; the difference is in the implementation form.
Capture Roadmap:
Wide extension of automatic recognition, including for other document types such as sales orders.
Less manual intervention required thanks to improved AI models.
VIM and SAP Transportation Management
Support for SAP Transportation Management (SAP TM) is being expanded. There was already support for the version in S/4 Hana, but in collaboration with SAP, OpenText is developing a process that also supports the standalone SAP TM.
Key points:
Invoice processing via SAP TM including Dispute Management.
New mapping option for rules to SAP TM Charge Types and the number of business rules available by default is expanded.
Booking invoice via API with synchronization between VIM and SAP TM.
More specific SAP TM fields, available in Fiori apps.
As a result, VIM provides an alternative entry point for TM invoices, in addition to the SAP Business Network Logistics.

In conclusion
The OpenText Deep Dive 2025 once again provided valuable insights into OpenText's strategic direction. Particularly notable were:
A strong focus on AI, LLM and Machine Learning.
Change in release strategy, focusing on the latest "major" version. The greatly enhanced invoice processing functionalities for SAP Transportation Management.
